Who we are

Ardoven Digital is run by Alex Mladenov, Sofia, Bulgaria. His full address is on our Legal information page. Alex decides how your personal data is used, which makes him the controller under the EU General Data Protection Regulation (GDPR).

Who this notice covers

  • Owners and managers of US home service businesses we email about our AI receptionist service.
  • People who call our AI receptionist, Ethan, or book a call with us.
  • Visitors to this website.

What we hold and where it comes from

If we emailed you: your name, job title, business name, business email address, business phone number, business location and the business profile details listed with them. We got these from Apollo.io (ZenLeads, Inc., USA), a database of business contacts.

If you called Ethan or booked a call: the call recording and transcript, your phone number, any name, email address, business name, city and state you gave us, and your answer to the booking question about your business.

If you replied to an email: your reply and anything in it.

If you visit this website: the site sets no cookies and loads nothing from other companies. Our host processes your IP address to deliver the pages.

You don’t have to give us any details. Without a name and an email address we can’t book a call for you. If you book by phone, Ethan also asks your city and state to find your time zone.

Why we use it and on what legal basis

We use it to offer our service to your business by email, to follow up, to answer your call, and to book and hold a call you asked for.

Our legal basis for emailing businesses, for recording calls to our own line and for running this website is our legitimate interest in offering and explaining our service (GDPR Article 6(1)(f)). We keep it light: at most three short emails per person unless you reply, and we stop when you ask.

When you ask for a call with us, our basis is taking the steps you requested before a possible contract (GDPR Article 6(1)(b)).

Your right to object

You can object at any time to us using your data for direct marketing. Reply “stop” to any of our emails, or write to alex@ardovendigital.com. We then stop emailing you and keep only your email address on a do not contact list, so you are never emailed by us again.

You can also object to any other use of your data that relies on our legitimate interest, such as recording your call. Write to alex@ardovendigital.com. We then stop that use and delete that data, except your email address on our do not contact list. If you object to a call recording, we delete the recording and its transcript.

Calls are recorded, and Ethan is an AI

Calls to Ethan are recorded and transcribed so we can follow up with you. Ethan tells you at the start of each call that it is being recorded. Ethan is an AI voice agent, not a person. This website says so next to the number, and Ethan confirms it whenever you ask. We don’t make decisions about you based only on automated processing.

Who else handles your data

These service providers run parts of our business and handle your data to provide their service to us:

  • Smartlead (521 Products Pty Ltd, Australia) sends our emails and stores replies.
  • Google Workspace hosts the mailboxes we send from, set up and managed for us by an email infrastructure provider in the USA.
  • An AI voice agent provider in the USA runs Ethan and stores call recordings and transcripts.
  • Calendly, LLC (USA) books calls, and Google Meet hosts them.
  • An email verification service in Bangladesh checks that an email address works before we write to it.
  • Netlify, Inc. (USA) hosts this website.

Our AI voice agent provider’s own terms also let it use call recordings and transcripts, once they no longer identify you, to improve its AI models.

We don’t sell your data.

Transfers outside the EU

Most of these providers are outside the EU, in the USA, Australia and Bangladesh. For these transfers we use safeguards GDPR allows, such as the EU US Data Privacy Framework or the European Commission’s standard contractual clauses, and we are completing these terms with each provider. Write to us for details.

How long we keep it

  • Outreach details and replies: up to 12 months after our last email to you, then deleted, unless you become a client.
  • Call recordings and transcripts: up to 12 months.
  • Booked calls: your booking details, up to 12 months after the call, then deleted, unless you become a client.
  • Our host’s server logs, which include your IP address: kept by Netlify for security for up to 1 year, then deleted.
  • If you object: only your email address, on our do not contact list, for as long as we send emails.
  • Clients: for as long as the agreement runs, and after that for as long as tax and accounting law requires.

Your other rights

You can ask us for a copy of your data, and ask us to correct it, delete it, limit how we use it, or move it where that applies. Write to alex@ardovendigital.com. We answer within one month.

You can also complain to the Bulgarian data protection authority: Commission for Personal Data Protection, 2 Prof. Tsvetan Lazarov Blvd., Sofia 1592, Bulgaria, kzld@cpdp.bg, www.cpdp.bg.

If we change this notice, we update the date at the top.
